Works for a renovation job, a website launch or a company event.

1. Project overview

What the project is, why it's needed and what success looks like.

  • Title and background
  • Purpose and business case
  • Objectives and success criteria
  • High-level scope and assumptions

Output: a one-page project charter.

2. Stakeholders

Who's involved, affected, or can influence the result.

  • List everyone: client, team, suppliers, approvers
  • Rate each by influence and interest: manage high/high closely, keep high-influence people satisfied, keep interested people informed, monitor the rest

Output: a stakeholder list with how you'll engage each.

3. Scope and deliverables

Be clear about what's in and what's out.

  • List deliverables and acceptance criteria
  • Break the work into phases and tasks (a work breakdown structure)

Output: a scope statement. Most disputes start where scope was vague.

4. Schedule

  • List every activity and estimate how long it takes
  • Note dependencies (what must finish before what)
  • Set milestones

Output: a timeline or Gantt chart. Free tools: Google Sheets, Trello, ClickUp.

5. Resources and budget

People, equipment, materials and money.

  • Assign roles and responsibilities
  • Check availability
  • Estimate costs and add a contingency (often 10–15%)

Output: a resource plan and budget.

6. Risks

  • List what could go wrong (weather, late deliveries, price changes, sickness)
  • Rate each by probability and impact
  • Decide a response and an owner for each

Output: a risk register.

7. Communication plan

Who needs what information, how often, and how.

  • Team: weekly task updates
  • Client: progress report every two weeks
  • Suppliers: as needed

Output: a simple communication schedule.

8. Monitor, review and update

  • Track progress against the plan
  • Manage changes formally — agree cost and time before extra work starts
  • Update the plan as things change

Output: regular status reports.
